Events template
Plan an event in seven stages, from the brief and the budget through to the debrief. Every task says what finished looks like, and each one carries its own checklist.
No account and no email needed. Opens in Excel or Google Sheets.
Thirteen tasks across seven stages, each with a completion criterion and its own checklist, plus a suggested day so the dates fall in a sensible order. The dates assume roughly a six-month plan and are there to be changed, not followed.
Events fail on the small things. The venue is booked but nobody confirmed the cancellation terms; registration works but the confirmation email has the wrong date; the day runs, but three people each thought someone else was briefing the volunteers.
What that looks like
Someone organising an event for a company, institution or non-profit — not a venue selling event services.
Group is the stage of the event: goals and scope, venue and vendors, programme and speakers, promotion and registration, final preparations, event day and after the event. Status and priority already use the product's own fixed values, so they map without edits.

Make it yours
Set the event date, then work the suggested days backwards from it. A small workshop will compress them; a large conference will stretch them.
All thirteen tasks, with their completion criteria and checklists. Owner and due date are left blank on purpose.
13 tasks in 7 groups, 54 checklist items
Agree with the sponsor why the event exists, who it is for, the expected attendance range and two or three measures of success.
Done when
A one-page brief states the goal, audience, attendance range and two or three success measures, and the sponsor has approved it.
Checklist0 of 5 ticked
Break the budget into venue, catering, AV, speakers, marketing and staffing, name who approves spending on each line, and hold back a contingency.
Done when
Every category has a planned amount and a named approver, and a contingency line is included in the total.
Checklist0 of 4 ticked
Assign one accountable person each for venue, programme, promotion, registration, logistics and on-site coordination.
Done when
A named owner exists for venue, programme, promotion, registration, logistics and on-site coordination.

Done when
At least three venues are compared in one table on capacity, availability, cost, AV and accessibility.
Checklist0 of 5 ticked
Confirm venue, catering and AV in writing, noting what is included, payment dates and cancellation terms before promotion begins.
Done when
A written confirmation is on file for the venue, catering and AV, with inclusions, payment dates and cancellation terms noted.
Checklist0 of 5 ticked
Draft the agenda with timings and breaks, confirm each speaker's topic and slot, and collect their technical needs early.
Done when
The agenda has timings and breaks, and every speaker has a confirmed topic, slot and list of technical needs.
Checklist0 of 4 ticked
Set up the sign-up form and confirmation message, then register a test attendee to check that the confirmation arrives with the right details.
Done when
A test registration produces a confirmation showing the correct date, venue and instructions, and the registration count updates.
Checklist0 of 4 ticked
Schedule emails and posts with an owner and a date each, and compare registrations with the attendance target every week.
Done when
The promotion calendar lists each message with an owner and date, and registrations are compared with target once a week.
Checklist0 of 3 ticked
Gather dietary and access needs from registered attendees and give the venue and caterer a final number by their cut-off date.
Done when
Dietary and access needs are listed and a final headcount has been sent to the venue and caterer before their cut-off.
Checklist0 of 4 ticked
List every item for the day with a time and an owner, and brief vendors and volunteers on their part and on who to call with a problem.
Done when
The run of show has a time and owner for each item and has been sent to every vendor and volunteer, with one escalation contact named.
Checklist0 of 3 ticked
Walk the space with the venue and AV leads, check the registration desk position and route, and test microphones, screens and connectivity.
Done when
The layout is confirmed with the venue, and microphones, screens and connectivity have each been tested and noted as working or fixed.
Checklist0 of 4 ticked
Staff the registration desk, run the programme from the run of show, and keep a log of issues with who decided what.
Done when
Every run-of-show item is marked done or carried over, and the issue log records each problem with its owner and resolution.
Checklist0 of 4 ticked
Meet the team for a debrief, compare actual spend with the budget, check results against the success measures, and thank attendees and sponsors.
Done when
Actual spend is reconciled against budget, results are compared with the success measures, debrief notes are recorded, and the follow-up has been sent.
Checklist0 of 4 ticked

What we hold this page to
Demand and intent both support this page
Search snapshot, 2026-09-30: page one is event-software vendors, a template site, and university and non-profit planning pages. Difficulty was not measured, and the results are crowded with large brands.
Not as they stand. The offsets assume roughly a six-month plan. For a one-day workshop, keep the order of the stages and compress the gaps; the sequence matters more than the numbers.
No. TaskSiddhi does not send tasks or reminders on WhatsApp, and it sends your attendees nothing. Reminders are tasks for a person on your team, with a due date and an owner.
No. Keep your registration tool and use the board to track the weekly count against target, the final headcount and the dietary and access needs. The board manages your team's work, not your attendees.
The checklist is the sub-points to work through. "Done when" is the single test that decides whether the task is finished, so two people would agree on the answer.
No. There is no guest access, so the board stays internal to your team. Send a summary instead of a link.
On the board, as tasks with a time and an owner. A document gets printed once and then edited by hand; tasks can be checked off and reassigned while the event is running.
