Events template
A wedding planner's working board, not a couple's checklist. Seven stages from the client brief to the closing summary, with a completion criterion and a checklist on every task.
No account and no email needed. Opens in Excel or Google Sheets.
Fourteen tasks across seven stages, each with a completion criterion and its own checklist, plus a suggested day. The dates assume roughly a six-month plan counted from the day you start, and are there to be moved to fit the wedding date.
A wedding has dozens of moving parts and a dozen people who each own one of them. The planner holds it together, and the parts that break are the ones that lived only in a phone: which vendor arrives when, who pays the balance, and what the family agreed about the ceremony order.
What that looks like
Freelance and small-studio wedding planners running a client's wedding. A couple planning their own wedding will find most of it relevant but some of it, such as the fee proposal, will not apply.
Group is the stage of the job: brief and agreement, budget and venue, vendors, guests and logistics, final week, wedding day and wrap-up. Status and priority already use the product's own fixed values, so they map without edits.

Make it yours
Set the wedding date, then work the suggested days backwards from it. The final-week tasks should sit in the last seven days, not where the offsets put them.
All fourteen tasks, with their completion criteria and checklists. Owner and due date are left blank on purpose.
14 tasks in 7 groups, 59 checklist items
Ask about date range, guest count range, budget range, ceremonies and must-haves, and write them into one shared brief.
Done when
A brief is saved that lists date range, guest range, budget range, the ceremony list and the must-haves.
Checklist0 of 5 ticked
List what you will and will not handle, the fee, and the payment schedule, so both sides start with the same expectations.
Done when
The proposal is sent and the client's reply (accepted, changed or declined) is logged on the task.
Checklist0 of 4 ticked
Split the budget into categories such as venue, catering, decor, photography, music and attire, and record who pays each line.
Done when
Every category has a planned amount and a named payer, and the total matches the client's agreed budget.
Checklist0 of 4 ticked
Compare venues on capacity, date availability, quoted cost and what happens if weather turns, and note who attended each visit.
Done when
Three venues are compared side by side on capacity, availability, quoted cost and backup plan, with visit notes attached.
Checklist0 of 5 ticked
Agree the date and the order of ceremonies, checking any traditional timing preferences with each family before anything is booked.
Done when
A dated ceremony list is agreed in writing by the client and shared with both family contacts.
Checklist0 of 4 ticked
Ask catering, decor, photography and music vendors for written quotes with inclusions and payment terms, and file them under the budget line.
Done when
Each category has two written quotes filed, with inclusions and payment terms noted beside the budget line.
Checklist0 of 5 ticked
Confirm each booking in writing and record what each vendor delivers, who on your team owns the contact, and when they arrive on the day.
Done when
Every booked vendor has written confirmation on file and a row in the vendor sheet with role, owner and arrival time.
Checklist0 of 4 ticked
Keep one list by household with RSVP status, dietary needs and whether the guest needs a stay, and update it as replies arrive.
Done when
Every invited household has an RSVP status, and every confirmed guest has dietary and stay needs recorded.
Checklist0 of 4 ticked
Match arrival details to stay bookings and plan pick-ups between station or airport, stay and venue, sharing the schedule with drivers.
Done when
Each out-of-town guest has a stay booking and a pick-up slot, and the driver schedule is shared with the drivers.
Checklist0 of 4 ticked
Walk through the venue with decor, catering, sound and photography leads to fix positions, power points, service routes and the flow of each ceremony.
Done when
Positions, power points and service routes are marked on the venue layout and each key vendor has confirmed their spot.
Checklist0 of 4 ticked
List what each vendor is owed, by when and from whom, and record every payment so the budget sheet matches reality before the day.
Done when
Every vendor has a balance, a due date and a payer recorded, and paid items are marked against the budget sheet.
Checklist0 of 4 ticked
Write the schedule for the day with a named owner for each item and share it with vendors, family leads and your own team.
Done when
The run sheet lists every item with a time and an owner and has been sent to all vendors and both family leads.
Checklist0 of 4 ticked
Work from the run sheet, keep a running log of issues with who decided what, and mark items done as they complete.
Done when
Every run-sheet item is marked done or carried over, and the issue log records each problem with its owner and resolution.
Checklist0 of 4 ticked
Return and check off rented items, ask vendors and the client for feedback, and send a closing summary with delivery dates for photos and video.
Done when
All rented items are returned and checked off, feedback is recorded, and the closing summary with delivery dates is sent to the client.
Checklist0 of 4 ticked
Open a task to see what counts as finished and its checklist. Ticks here are just to try it out and are not saved.

Mixed, and mostly consumer. The large volume is couples planning their own wedding; the planner-business phrasings have ten or fewer searches a month. This page is written for the planner, so it addresses the smaller audience on purpose.
What we hold this page to
Thin or mismatched demand — no traffic expectation
Search snapshot, 2026-09-30: page one for the main term is consumer wedding sites and blogs. Difficulty was not measured. Those pages are written for couples, which is a different reader from this one.
For the planner. It includes the client brief, the scope and fee proposal, and a closing summary, which a couple planning their own wedding will not need. The budget, venue, vendor and guest stages work either way.
Set the wedding date first and work the offsets backwards from it. The final-week tasks in particular should sit inside the last seven days; as written they land a little earlier.
No. TaskSiddhi does not send tasks or reminders on WhatsApp. A WhatsApp link opens a chat for you to send yourself; chasing a vendor is a task with a due date and an owner.
No. There is no guest access or client share link, so the board stays internal to your team. Share a summary or the run sheet instead.
Keep one board and add the ceremony name to each task, or duplicate the vendor and final-week groups per ceremony. The ceremony order itself is agreed in the "Confirm the date and ceremony schedule" task.
You can record which vendor is owed what, by when and from whom, as tasks. It is not an accounting system and will not take payments; it keeps the balances visible before the final week.
