Operations template
A board for a hospital department's administrative routines: who hands which paperwork to whom between the front desk, ward administration and billing, how a room is turned around, and how supplies are requested and issued. Non-clinical work only.
No account and no email needed. Opens in Excel or Google Sheets.
Twelve tasks across five stages, each with a completion criterion and its own checklist, plus a suggested day. The scope task comes first on purpose: it names what is out of scope, and the second task hands clinical and infection-control questions to the responsible clinical lead rather than answering them here.
Much of a hospital department's daily friction is administrative rather than clinical: a discharge waits on paperwork nobody owns, a room sits dirty because the request never reached housekeeping, a consumable runs out because the reorder level was in somebody's memory. None of it is in the clinical record, so none of it gets reviewed.
What that looks like
A hospital administrator, department manager or quality coordinator who needs written administrative routines for non-clinical work.
Group is the area of departmental administration: scope and ownership, patient-flow handoffs, housekeeping and room turnaround, supplies and stores, training and review. Status and priority already use the product's own fixed values, so they map without edits.

Make it yours
Name the process owner before anything else, and keep the board to administrative work. Clinical, infection-control and regulatory content belongs with the responsible clinical and quality leads, and patient information belongs in the systems your hospital has approved for it.
All twelve tasks, with their completion criteria and checklists. Owner and due date are left blank on purpose.
12 tasks in 5 groups, 43 checklist items
Record which department this covers, who owns the routines, and which administrative routines are in scope, stating clearly that clinical care is excluded.
Done when
The department and owner are named and a list of in-scope administrative routines exists, with clinical care stated as out of scope.
Checklist0 of 4 ticked
List every routine that touches clinical or infection-control content and send that list to the lead responsible, with a due date for their answer.
Done when
A list of routines touching clinical or infection-control content has been sent to a named clinical lead with a due date, and their reply is logged.
Checklist0 of 4 ticked
For each handoff, record who sends, who receives and which non-clinical item or status is passed, using role names and no patient details.
Done when
A handoff map lists each step with sender role, receiver role and the item or status passed, and contains no patient details.
Checklist0 of 4 ticked
Set out how the registration queue is ordered, who may escalate a delay, and to whom, using the wait-time target the hospital has set.
Done when
The routine states the queue rules, who may escalate, who receives the escalation, and cites the hospital's own wait-time target.
Checklist0 of 4 ticked
List the paperwork and status checks the ward administration completes, and the signal that tells the billing desk the file is ready, with an owner for each.
Done when
The routine lists each administrative check with an owner and names the ready signal sent to the billing desk.
Checklist0 of 3 ticked
Name who requests a room to be turned around, who cleans, who inspects and who marks it ready, and have the infection-control lead set the cleaning method.
Done when
The routine names who requests, cleans, inspects and releases, and the cleaning method has been set by the infection-control lead.
Checklist0 of 5 ticked
Give each ward its own daily housekeeping round as a recurring task under that ward's housekeeping supervisor, and look for gaps in the first week.
Done when
Each ward has a daily recurring housekeeping round with a named supervisor, and gaps in the first week are noted.
Checklist0 of 3 ticked
Define who may request supplies, who approves, who issues from the store, and where each issue is recorded so stock can be reconciled.
Done when
The routine names who requests, approves and issues, and states where each issue is recorded.
Checklist0 of 4 ticked
Create a weekly recurring count task and have the store owner set a reorder level for every item the department uses.
Done when
A weekly recurring count task exists and each item has a reorder level set by the store owner.
Checklist0 of 3 ticked
Brief each team only on the routines it uses, answer questions on the spot, and record which teams have been briefed.
Done when
Every affected team has been briefed on its routines and the list of briefed teams is recorded.
Checklist0 of 3 ticked
Follow one shift with the routines in hand and note each step where what happens differs from what is written, and why.
Done when
A list of differences between the observed shift and the written routines exists, each with a reason and a decision to change either.
Checklist0 of 3 ticked
Schedule a monthly review with the department leads, and keep a log where any staff member can suggest a change to a routine.
Done when
A monthly review date is set and a change log exists with the process owner named as its reader.
Checklist0 of 3 ticked
Open a task to see what counts as finished and its checklist. Ticks here are just to try it out and are not saved.
Suggested days are not due dates. Each one is an illustrative offset from the day you start the board. Where the work hangs on a fixed date, such as an event, a service or an agreement, set every due date from that date instead, and leave a due date blank until the date it depends on is known.
The same rows as a CSV. Columns in the file: Task, Group, Status, Priority, Owner, Due date, Suggested day, Done when, Checklist, Notes.

Staff looking for written administrative procedures. The larger phrasings were checked and dropped: "hospital checklist" and "hospital bag checklist" return maternity hospital-bag guides written for patients, which is a different reader and a different job, so neither is targeted here.
What we hold this page to
Provisional: moderate demand, with intent a working hypothesis until the search evidence is pulled again and kept
A search snapshot for the target term showed software-vendor SOP templates, healthcare-operations articles and a patient-safety survey page. Positions and pages were not retained.
No. Keep patient records, clinical details and payment information in the systems your hospital has approved for them. This board holds the administrative routine — who does what, when, and what counts as done — not the data the routine touches.
No, and one of the tasks exists to say so: clinical care, infection control and regulatory content are passed to the responsible clinical and quality leads. The contract behind this template has not been reviewed by a clinical lead, so nothing here should be treated as approved practice.
Start with one department. The scope task asks for the department, its process owner and what is out of scope, and that answer is what makes the rest usable. Copy the board per department once one of them works.
A rota says who is on. The turnaround routine says what happens to one room: it is requested, cleaned, inspected and then released, with the release recorded. The recurring daily round in the board is the rota part.
No. It records the requisition routine and whether it was followed. The request itself goes through whichever system or form your stores already use.
