Operations template
A board for writing a hotel's routines in the form that suits each one: checklists for linear tasks like check-in, playbooks for situations that branch like a complaint or an unavailable room, and logs for repeated checks like shift handovers and maintenance rounds.
No account and no email needed. Opens in Excel or Google Sheets.
Thirteen tasks across five stages, each with a completion criterion and its own checklist, plus a suggested day. One task does nothing but choose a format for each routine, because a branching situation written as a checklist is the most common reason an SOP goes unused.
A hotel never closes, so its routines have to survive every handover. What usually exists instead is a folder of documents written in one format, most of them for situations that branch, and a night shift that solves each one from scratch. The guest sees the inconsistency long before the manager does.
What that looks like
A hotel owner, general manager or department head who wants written routines that every shift follows.
Group is the stage of the routine set: scope and owners, front office, housekeeping, maintenance, training and review. Status and priority already use the product's own fixed values, so they map without edits.

Make it yours
Choose the format for each routine before writing it: checklist, playbook or log. Have a local registration adviser confirm the guest-registration steps and your safety or maintenance professional set the safety-critical rounds before either goes live, and keep guest personal data and access details off the board.
All thirteen tasks, with their completion criteria and checklists. Owner and due date are left blank on purpose.
13 tasks in 5 groups, 52 checklist items
List the hotel's departments, name one person who owns the SOPs for each, and choose the first routines to document by how often they happen and how often they go wrong.
Done when
Each department has a named SOP owner and a ranked list of first routines, and each routine has an approval owner, a version and an effective date.
Checklist0 of 4 ticked
Use a checklist for linear tasks, a playbook for situations that branch, and a log for checks that repeat, and note which format each routine gets.
Done when
Every routine on the list has a chosen format of checklist, playbook or log with a one-line reason.
Checklist0 of 3 ticked
List the desk steps for arrival and departure in order. Do not use any registration or identity step until a qualified reviewer has checked it for your location, since rules differ by place.
Done when
Arrival and departure steps are listed in order with an owner, and registration or identity steps are marked not-for-use until a qualified reviewer has approved them.
Checklist0 of 4 ticked
Design a checklist that records outstanding actions and their owners, with no guest identifiers, room-access details or cash amounts; point staff to the hotel's access-controlled systems for the underlying records.
Done when
The proposed fields were reviewed to confirm they hold no guest identifiers, access details or cash amounts, and a dated sign-off records that the checklist was used for three consecutive shifts.
Checklist0 of 5 ticked
For each type of complaint, such as noise, cleanliness or billing, state who decides, what may be offered and when to escalate, and add a branch that sends any safety or emergency situation through the property's approved procedure.
Done when
The playbook has at least four branches, including one that escalates safety or emergency situations through the property's approved procedure, each naming who decides and what may be offered.
Checklist0 of 5 ticked
Set out what the desk does when a room is not ready or cannot be given, including who may approve an alternative and how the guest is told.
Done when
The playbook names who approves an alternative, what alternatives exist, how the guest is told, and where the case is recorded.
Checklist0 of 4 ticked
List the cleaning order for each room type and a separate short inspection checklist the supervisor uses, with cleaning methods taken from the hotel's own standards.
Done when
A cleaning sequence exists per room type and a supervisor inspection checklist exists, both stating the hotel's own standard as the source.
Checklist0 of 3 ticked
Define who updates the hotel's authoritative room-status system, when the desk must check it before assigning a room, and how a mismatch between desk and housekeeping is escalated.
Done when
Both teams have agreed status definitions, update owners, a pre-assignment check and a mismatch-escalation procedure, and a dated sign-off records it.
Checklist0 of 5 ticked
Define a log for each repair with room, issue, urgency, assignee and dates, and give each urgency level an owner, an escalation trigger and a rule for taking an affected room out of service.
Done when
Each urgency level has an owner, an escalation trigger and an out-of-service rule, and a named person confirms each fix.
Checklist0 of 5 ticked
List the areas to inspect and assign owners. Have the property's responsible safety or maintenance professional set the checks, frequencies and escalation routes for safety-critical items under local requirements before scheduling them; use weekly tasks only where that frequency is approved.
Done when
Each area has an owner, the safety professional has approved the checks and frequency for safety-critical items, and recurring tasks for those items go live only after that approval.
Checklist0 of 4 ticked
Ask each department head to brief every shift on the approved version of their routines and to record who attended, so each person hears it from their own lead.
Done when
Each department head has briefed every shift on the approved version of their routines, and a dated attendance count is recorded for each briefing.
Checklist0 of 3 ticked
Review a week of handover, complaint and maintenance records where they are kept, note where people skipped or stretched a step, and choose the three changes that would help most.
Done when
A dated sign-off or count on the board records that a week of records was reviewed, deviations are listed, and three changes are chosen with an owner each; no copies of records are stored on the board.
Checklist0 of 4 ticked
Put a review of the whole SOP set on the calendar every quarter, and name the person who triages staff suggestions before each review and decides which are taken forward.
Done when
A quarterly review date is set and a named owner triages suggestions and decides which go forward before each review.
Checklist0 of 3 ticked
Open a task to see what counts as finished and its checklist. Ticks here are just to try it out and are not saved.
Suggested days are not due dates. Each one is an illustrative offset from the day you start the board. Where the work hangs on a fixed date, such as an event, a service or an agreement, set every due date from that date instead, and leave a due date blank until the date it depends on is known.
The same rows as a CSV. Columns in the file: Task, Group, Status, Priority, Owner, Due date, Suggested day, Done when, Checklist, Notes.

A manager looking for routines rather than a document pack. Keyword Planner merges "hotel sop" and "hotel standard operating procedures" into one cluster. The housekeeping phrasing is larger than the target and is a possible later template.
What we hold this page to
Provisional: moderate demand, with intent a working hypothesis until the search evidence is pulled again and kept
A search snapshot for the target term appeared to show hotel-operations software vendors, audit tools, a hospitality-education site and checklist sites. The underlying results were not retained, so the intent reading behind the priority still needs checking.
Because a branching situation written as a checklist gets abandoned on the first shift that hits a branch. Checklists suit linear work, playbooks suit situations that branch, and logs suit repeated checks. The split is an organising choice drawn from hotel SOP guides, not a standard.
No. The handover task is written to carry no guest identifiers, and the completion evidence for these routines is a dated sign-off or a count, never copies of logs or guest records. Guest data belongs in your property system.
No. Those differ by place and are not written here. The registration steps need a local adviser's confirmation and the safety-critical rounds need your safety or maintenance professional to set the checks and their frequency before anyone uses them.
The request-to-fix routine is a log: each request is recorded, assigned and closed with a result. The rounds themselves can be recurring tasks, but only after the checks and the frequency have been approved.
See automationThe last task schedules a quarterly review and gives someone the job of triaging suggestions. Quarterly is a suggested cadence from the same guides, not a rule — a property that changes systems mid-year will need it sooner.
