Projects template
A board for running a build from the first scope conversation to handover: agree what is being built and who approves changes, record the approvals, confirm site safety before anyone mobilises, then run the site with daily reports, registers and inspections before each trade covers the last.
No account and no email needed. Opens in Excel or Google Sheets.
Fifteen tasks across five stages, each with a completion criterion and its own checklist, plus a suggested day. Safety and inspection tasks sit alongside the work rather than after it, so no trade covers the previous one's work before it has been accepted.
A build has many trades, suppliers and decisions, and a slip in one of them surfaces somewhere else weeks later. The programme lives in a chart nobody updates, the approvals live in an inbox, and the first time anyone reconciles the two is when an inspector asks.
What that looks like
A contractor, site manager or project manager who plans and runs a building project for a client.
Group is the stage of the build: initiate and scope, pre-construction, procurement, site execution, closeout. Status and priority already use the product's own fixed values, so they map without edits.

Make it yours
Copy the board once per project. The suggested days are placeholders, not a programme: set real dates from your own schedule before briefing anyone.
All fifteen tasks, with their completion criteria and checklists. Owner and due date are left blank on purpose.
15 tasks in 5 groups, 67 checklist items
Agree in writing what is being built, the budget ceiling, the target completion and what counts as done, so later disputes can be settled against one document.
Done when
A scope document states what is being built, the budget ceiling, the target completion and the acceptance criteria, and the client has confirmed it in writing.
Checklist0 of 5 ticked
Decide who on each side can approve a change to scope, cost or time, and use one form that records the change, its cost and its effect on the programme.
Done when
A named approver exists on each side and a change request form records the change, its cost and its effect on the programme.
Checklist0 of 3 ticked
Ask the local authority or a qualified adviser which approvals apply and record each with its conditions. Plan provisional dates, list the prerequisites for each affected activity, and mark it ready to start only when its responsible person records that they are satisfied.
Done when
Each required approval is listed with its conditions and status, provisional dates are planned, and an activity is marked ready to start only when its responsible person has recorded that its prerequisites are satisfied.
Checklist0 of 5 ticked
Name an owner for this step. Site work is on hold until the responsible site-safety professional confirms the site-specific arrangements and sets the briefing schedule; record that confirmation, then repeat briefings at the agreed intervals.
Done when
An owner is named, site work is on hold until the responsible site-safety professional's written confirmation is recorded with the briefing schedule set, and each briefing's date and headcount are recorded once work starts.
Checklist0 of 5 ticked
List the work by trade with an owner, what must finish before each can start and any points where work must stop for inspection, then set milestone dates from your own programme.
Done when
Each trade has an owner, predecessors and hold points listed, and milestone dates are set from the project's own programme and shared with the client.
Checklist0 of 4 ticked
Ask suppliers or subcontractors for written quotes on the same scope where practicable, compare what each includes, and record why one was chosen, including any single-source reason.
Done when
Each trade has its quotes or a recorded single-source reason, compared in one table with inclusions and exclusions, and the reason for the selection is recorded.
Checklist0 of 4 ticked
Give every selected subcontractor a written description of their scope, price and dates, and ask them to accept it in writing before they mobilise.
Done when
Every selected subcontractor has a written scope with price and dates and has accepted it in writing before mobilising.
Checklist0 of 3 ticked
Find the materials and equipment with the longest delivery times, order them after the supplier is selected, and record the supplier and the delivery date they have promised.
Done when
A long-lead list shows each item with its supplier, selection reason, order date and promised delivery date, and any item whose promised delivery misses its required milestone is flagged to the project manager.
Checklist0 of 5 ticked
Meet the main parties on site to agree access routes, material storage, working hours and site rules, and write the decisions down for everyone.
Done when
Access, storage, working hours and site rules are written down and sent to every party who attended or will work on site.
Checklist0 of 5 ticked
Name who writes the report each working day and set a working-day reporting schedule; use a recurring task if the app supports one, otherwise create dated report tasks. Record work done, people on site as a headcount, deliveries, weather and problems.
Done when
The reporting schedule and owner are set, and each scheduled occurrence is completed with a dated report that uses headcounts, not worker names.
Checklist0 of 5 ticked
For each request record who asked, who must answer, the date sent, the response due date and its status, add the response date when answered, and review open ones weekly.
Done when
Each request has an asker, a recipient, a date sent, a due date and a status, and answered requests have a response date.
Checklist0 of 5 ticked
For each submittal record what was sent, to whom, the date sent, the review due date and the outcome, and review the open ones weekly.
Done when
Each submittal has the item, the recipient, the date sent, the review due date and the outcome recorded.
Checklist0 of 4 ticked
List the points where work will be hidden, such as behind walls or under floors, name who must inspect or approve each, and set an inspection due date on each covering activity. Do not release covering work until the required acceptance is recorded.
Done when
For each cover-up point the required inspector or approving party, the inspection outcome and any corrective work are recorded, covering work is released only after the required acceptance is recorded, and failed work is reinspected before release.
Checklist0 of 5 ticked
Keep the agreed cost and completion baseline, the approved variations with their cost and time effects, and the current forecast as three separate figures, and show how each time effect moves the forecast completion.
Done when
The agreed baseline, each approved variation with its cost and time effect, and the current forecast for cost and completion are recorded separately and kept up to date.
Checklist0 of 4 ticked
Walk the finished work with the client and list every open item with location, owner and due date; then offer handover with the drawings, manuals, warranties and inspection records, and record the client's response.
Done when
Every open item has a location, owner and due date, the handover documents are listed and offered, and the client's response is recorded as acceptance, conditional acceptance or rejection, with an agreed owner and next action for each outstanding item.
Checklist0 of 5 ticked
Open a task to see what counts as finished and its checklist. Ticks here are just to try it out and are not saved.
The same rows as a CSV. Columns in the file: Task, Group, Status, Priority, Owner, Due date, Suggested day, Done when, Checklist, Notes.

What we hold this page to
Moderate demand, intent verified
A US search snapshot for the target term included Meistertask, Smartsheet, Tom's Planner, TeamGantt, ProjectManager, GanttPRO, DownToBid, AEC Software and Meegle. Positions and pages were not retained.
No, and it does not try to. Approvals, inspections and safety requirements differ by place and by project. The board records which ones apply to yours, who is responsible for each, and whether clearance has been given, but the list itself has to come from your local authority or a qualified adviser.
No. They are placeholders showing a plausible order and rough spacing. Set real dates from your own schedule, and treat anything exported from here as needing that warning attached.
No. The product has boards and views rather than a chart, so milestones are task due dates. That is deliberate: a chart nobody updates is worse than a date on the task itself.
See boards and viewsThe task in this template sets the reporting routine up once. After that, make each day's report its own recurring or dated task, so it is a record that can actually be finished rather than one task that never closes.
Keep the register and its status there, but be careful what goes in the fields: requests and submittals often name people and carry client information. The sample daily report in this file uses headcounts rather than names for that reason.
