Projects template
A board for one client engagement in five stages: scope and approvals, onboarding and access, a strategy approved in writing before anything goes live, launch with live verification, then reporting and review — including removing the access again at wrap-up.
No account and no email needed. Opens in Excel or Google Sheets.
Fourteen tasks across five stages, each with a completion criterion and its own checklist. This file carries no suggested days on purpose: the account manager sets dates per engagement. Access is handled through delegated access rather than shared passwords, and the wrap-up verifies it was removed.
Agency engagements get messy at the edges. Access arrives as a password in a chat message, the strategy is approved in a meeting nobody minuted, the campaign goes live without anyone checking it actually went live, and when the engagement ends the agency still has the keys.
What that looks like
An owner or account manager at a small digital marketing agency who runs ongoing client engagements.
Group is the stage of the engagement: proposal and scope, onboarding and access, strategy and approval, set up and launch, reporting and review. Status and priority already use the product's own fixed values, so they map without edits.

Make it yours
Copy the board once per client. There are no suggested days: set dates per engagement, and keep the access tasks in stage two ahead of anything in stage four.
All fourteen tasks, with their completion criteria and checklists. Owner and due date are left blank on purpose.
14 tasks in 5 groups, 56 checklist items
List what the engagement includes and excludes, the deliverables, how often results are reported and how a request beyond scope is priced and approved, before any work starts.
Done when
A written scope states inclusions, exclusions, deliverables, reporting frequency and the change-request process, and the client has agreed it in writing; only its reference is on the board.
Checklist0 of 5 ticked
Choose a single person on the client side to approve each type of deliverable, and agree how quickly they respond, so that feedback has one source and approvals do not stall.
Done when
Each deliverable type has one approver role and an agreed response time, and the client has acknowledged both in writing.
Checklist0 of 3 ticked
Record whether advertising spend is paid directly by the client or through the agency, how fees are invoiced and what approvals any spend change needs; amounts stay in the finance system.
Done when
The written agreement states who pays advertising spend, how fees are invoiced and the approval needed for a spend change, and only its reference is on the board; no amounts are recorded.
Checklist0 of 4 ticked
Ask the client to grant the access the work needs through each platform's own delegated-access feature, record which roles were granted what, and never ask for or store a password.
Done when
Access needed is listed by platform and role, each grant is confirmed through the platform's delegated-access feature, and no password or login is requested or stored on the board.
Checklist0 of 3 ticked
Ask for brand guidelines, statements the client cannot make and any topic that needs extra approval; advertising rules differ by place, so the client's responsible person confirms what applies.
Done when
Brand guidelines, claims to avoid and approval rules are received by reference, and the client's responsible person has confirmed which advertising rules apply; the template states none.
Checklist0 of 4 ticked
Agree which analytics and tracking accounts exist, who owns each and what is measured. Tracking stays off until the client's authorised reviewer records a decision for each relevant market.
Done when
Before any tracking change, the client's authorised reviewer records whether the proposed tracking may proceed in each relevant market, what permissions or configuration are required and where that decision is held; required controls are in place before tracking is enabled, otherwise tracking remains off.
Checklist0 of 4 ticked
Review the current channels, content and tracking, record findings by area, and note where the evidence is kept in the client's own platforms rather than copying it onto the board.
Done when
Findings are recorded by area with the location of the supporting evidence in the client's platforms, and no performance figures or customer data are copied onto the board.
Checklist0 of 3 ticked
Set out the goals, the audience, the channels chosen and why, and a simple plan for what will be tested, agreeing the success measures without promising any result.
Done when
The strategy brief states goals, audience, channels with reasons, the test plan and the agreed success measures, and contains no guarantee of results.
Checklist0 of 5 ticked
Send the strategy and the plan for the first period to the client's approver, and do not launch anything until approval or agreed changes are recorded in writing.
Done when
The client's approver has approved the strategy and first-period plan in writing, or required changes are completed and the revision approved, before any launch is prepared.
Checklist0 of 3 ticked
Agree the small set of measures that matter, where each comes from, when reports go out and who walks the client through them; report data stays in the platforms and approved systems.
Done when
Before launch, the reporting routine names the measures, their source platforms, the schedule and the person who explains them, and states that report data stays in the platforms and approved systems.
Checklist0 of 5 ticked
Confirm every creative item is approved by the client, check the tracking works on test actions, set spend limits inside each platform and agree who may pause a campaign and when.
Done when
Each creative item has recorded client approval, the client's authorised reviewer has approved the final ads and landing pages for their intended markets including any required specialist review, tracking is checked with test actions, spend limits and the pause rule are set, and the launch plan is reviewed; items awaiting review do not launch.
Checklist0 of 5 ticked
Switch on the campaigns, check that ads, pages and tracking work as approved and that the platform caps and pause owner are in place, and record each issue with its decision to fix, pause or continue.
Done when
The launch is executed, ads, pages and tracking are checked live, platform caps and the agreed pause owner are verified at launch, an owner and frequency for checking spend after launch are assigned, and each issue has a recorded decision to fix, pause or continue; a cap breach is paused or escalated.
Checklist0 of 5 ticked
Review the first period with the client's approver against the agreed success measures and record a decision to continue, change, stop or scale each activity, with an owner and rationale.
Done when
A review with the client's approver is recorded by reference, each activity has a decision to continue, change, stop or scale with an owner and rationale, and the next review date is agreed.
Checklist0 of 3 ticked
Agree the scope for the next period or close the engagement, and on wrap-up remove the agency's delegated access, hand back assets and record that each removal was verified.
Done when
The next period's scope is agreed in writing or the engagement is closed; if renewing, only the access needed for the agreed next scope is retained and reviewed with the client; if closing, each delegated access is removed and verified in the platform and assets are handed back by reference.
Checklist0 of 4 ticked

What we hold this page to
Thin or mismatched demand — no traffic expectation
Not checked for this template.
No, and it is written specifically to avoid doing so. The strategy task records the test plan and the agreed success measures and contains no guarantee of results, because an agency that promises a number in a proposal has made a problem for itself.
Because a shared password cannot be revoked for one person, cannot be audited, and often breaks the client's own security rules. Delegated access per platform can be granted, logged and removed, which is also what makes the wrap-up task possible.
Never. The board records that access was requested, granted and later removed. The credentials themselves belong in the client's own platform permissions, not in a task field.
Someone other than the person who set it up confirms that what is live matches what was approved — the right account, the right budget, the right targeting, the right landing page. It is a five-minute task that prevents a month of wasted spend.
Run the setup stages once, then make reporting and review recurring or dated tasks per cycle, so each month has its own record.
