Projects template
A board for one paid shoot, from the first enquiry to the archive: agreeing deliverables and terms in writing, building the shot list, getting two copies of every card before any of them is cleared, then culling, editing and delivering.
No account and no email needed. Opens in Excel or Google Sheets.
Thirteen tasks across five stages, each with a completion criterion and its own checklist, plus a suggested day. The shoot-day stage holds two tasks rather than one, because copying every card to two drives before clearing any of them is the step that cannot be redone later.
The hours with the camera are the part of a shoot that is never forgotten. Everything around them is: the deliverables were agreed verbally, the shot list lived in a message thread, the cards were cleared before the second copy existed, and the client is asking about the gallery while the edit is still half done.
What that looks like
A photographer running a paid client shoot, from the enquiry through to the archived job.
Group is the stage of the job: enquiry and booking, pre-shoot, shoot day, culling and editing, delivery and archive. Status and priority already use the product's own fixed values, so they map without edits.

Make it yours
Copy the board once per shoot and set the dates from the shoot date — the suggested days run from the enquiry, not from the day you import. Have a qualified adviser check your written terms once; after that the same terms are reused.
All thirteen tasks, with their completion criteria and checklists. Owner and due date are left blank on purpose.
13 tasks in 5 groups, 47 checklist items
Record what the client wants the photos for, where and when, and exactly what they will receive, such as number of edited images and usage.
Done when
An enquiry record lists date, location, purpose, number of edited images and intended use, and the client has confirmed it by message.
Checklist0 of 4 ticked
Send a quote with what is included and your written terms, and ask a qualified adviser to review the terms once before you reuse them.
Done when
The quote and written terms are sent and the client's reply is logged, and a qualified adviser has reviewed the terms document once.
Checklist0 of 4 ticked
Record the deposit against the booking and block the shoot date and travel time so no other job is accepted for it.
Done when
The deposit is recorded against the booking and the shoot date and travel time are blocked in the calendar.
Checklist0 of 3 ticked
Ask the client for their must-have shots and any group or family combinations, and turn them into a numbered shot list in a sensible shooting order.
Done when
A numbered shot list exists that includes every must-have and group combination the client named, and the client has seen it.
Checklist0 of 4 ticked
Visit or check the location for light at the shoot time, power, parking and access, and ask whether it needs permission for photography.
Done when
Light at the shoot time, power, parking and access are noted, and any permission needed has been asked about and the answer logged.
Checklist0 of 4 ticked
Test each body, lens and flash, charge every battery, format spare cards, and pack spares of anything the shoot cannot go on without.
Done when
Each item on the gear list is tested and packed, with a spare body or equivalent backup for the critical items noted.
Checklist0 of 4 ticked
Send timings, meeting point, a contact number for the day and anything the client should bring or wear.
Done when
The client has a one-page plan with timings, meeting point and day contact, and has acknowledged it.
Checklist0 of 4 ticked
Work through the shot list in order, mark each must-have as captured, and take an extra frame of anything the client will not get a second chance at.
Done when
Every must-have on the shot list is marked captured or explained as not possible.
Checklist0 of 3 ticked
Copy the day's files to two separate devices, check that the file counts match the cards, and only then clear the cards.
Done when
The files exist on two separate devices with file counts matching the cards before any card is cleared.
Checklist0 of 4 ticked
Remove duplicates and misses, then choose the strongest frames for each shot-list item up to the agreed number of edited images.
Done when
The selected set matches the agreed number of edited images and covers each must-have shot.
Checklist0 of 3 ticked
Apply one consistent edit across the set, check skin tones and horizons on a few images, and export the sizes promised in the quote.
Done when
All selected images are edited in one style and exported in the sizes stated in the quote, with a sample checked on two screens.
Checklist0 of 3 ticked
Send a private gallery link with a short note, state how long the gallery stays open, and log when the client confirms they have downloaded the images.
Done when
The client has a private gallery link with a stated expiry and has confirmed they downloaded the images.
Checklist0 of 3 ticked
Store originals, selects and finals in labelled folders on two devices, and record how long you will keep the project before deleting it.
Done when
Originals, selects and finals are in labelled folders on two devices, and a retention period is recorded for the project.
Checklist0 of 4 ticked
Open a task to see what counts as finished and its checklist. Ticks here are just to try it out and are not saved.
Suggested days are not due dates. Each one is an illustrative offset from the day you start the board. Where the work hangs on a fixed date, such as an event, a service or an agreement, set every due date from that date instead, and leave a due date blank until the date it depends on is known.
The same rows as a CSV. Columns in the file: Task, Group, Status, Priority, Owner, Due date, Suggested day, Done when, Checklist, Notes.

Mixed, and the mix is against this page. The term is searched by hobbyists reading about capturing, culling and editing as much as by professionals running client jobs, and the client-business phrasings have ten searches or fewer. This template is written for the paid client shoot, so no traffic claim is made. The larger "photography contract template" demand is a search for a document, which is a different job and is not covered here.
What we hold this page to
Thin or mismatched demand — no traffic expectation
A search snapshot for the target term showed photography-software and photography-education guides plus independent photographers' blogs. Positions and pages were not retained.
No. It has a task for sending your written terms and having them checked once by a qualified adviser, but the terms themselves are not here. A contract is a document and a legal question; this board is the order of work around it.
No. They run from the enquiry and are spaced to show a plausible order, roughly six weeks. Set real dates from your shoot date before you send anything to a client.
No. Boards are for your team, so the day plan and the gallery go to the client through whatever you already use for that. Keep the board as your own record of the job.
See boards and viewsBecause it is the only step on the list that cannot be redone. Making "copy every card to two drives before clearing any card" a task with its own finish line is the point of having it on a board at all.
Parts of it will, but it is written for paid client work: a quote, terms, a deposit and a delivery deadline. For a personal shoot, the pre-shoot and shoot-day stages are the useful half.
